As a Business Assistant in the Corporate team, you will provide essential administrative support to Compliance, Conduct, and Operational Risk Managing Directors. You will manage complex travel arrangements, coordinate meetings, and oversee expense processes, all while maintaining confidentiality and professionalism. You will thrive in a flexible, collaborative environment, working closely with peers and senior stakeholders. Your role is key to ensuring smooth operations and supporting the wider business community.

Job responsibilities

  • Manage executive diaries and complex travel arrangements, ensuring compliance with business policy.
  • Coordinate flights, trains, accommodation, and ground transportation, adapting to frequent changes.
  • Organize internal and external meetings, conference calls, and interview set-ups.
  • Oversee expense processes in partnership with teams, including reimbursement and personal amounts.
  • Complete accurate data entry using internal systems such as Concur, Amex, eSource, and Microsoft Teams.
  • Provide general administration support including bookings, filing, photocopying, and stationery orders.
  • Partner with assistants across Compliance to provide backup coverage as needed.
  • Support ad-hoc project work, distribution lists, and management reporting.
  • Demonstrate strong technical skills and ability to act with integrity and confidentiality.
  • Foster a collaborative team environment and contribute to mentoring junior staff.
  • Exhibit strong geographical awareness and understanding of the political landscape within the organization.

Required qualifications, capabilities, and skills

  • Full competency in diary management and event planning.
  • Strong technical capabilities and proficiency with internal systems.
  • Ability to manage expense systems and cost control initiatives.
  • Demonstrated proactivity, ownership, and attention to detail.
  • Flexible and receptive to change, able to work in the office 5 days per week.
  • Professional, composed manner with strong communication skills.
  • Ability to work independently and prioritize competing demands.
  • Solution-oriented mindset and ability to deliver high-quality results.
  • Strong team player who builds networks and partnerships across hierarchies.
  • Ability to maintain confidentiality and act with integrity.
  • Understanding of the culture of Investment Banking.

  • Experience supporting senior leaders in a corporate or investment banking environment.
  • Proven ability to champion expense policy and process expenses efficiently.
  • Experience coordinating Town Halls, off-sites, and management meetings.
  • Ability to quickly grasp key people and political landscape within the organization.
  • Strong executive communication style for senior internal visitors and speaker engagements.
  • Experience mentoring peers and acting as a role model.
  • Awareness of business priorities and ability to adapt to changing requirements.
